Why your chart of accounts depends on your industry

The accounting equation is universal. The accounts you need to run your business are not.

A glowing chart of accounts branching into industry symbols

Generic bookkeeping software hands everyone the same twenty accounts and calls it a chart. It works, in the way that a single pair of shoes works for everyone: badly, and you notice most when you try to move.

What actually differs

  • Manufacturing needs raw materials, work in progress, finished goods and a route from labour and overhead into cost of sales.
  • Retail and hospitality need stock, wastage, card settlement fees and till float — margin lives or dies in those lines.
  • Professional services need work in progress, unbilled time and subcontractor cost separated from staff cost.
  • Construction needs contract-level costing, retentions held and progress billing.
  • Clinics and regulated trades need licence, insurance and compliance costs visible rather than buried in overheads.

What never differs

The structure underneath is identical everywhere: assets, liabilities, equity, income, expenses, and a double entry for every event. Industry packs are a layer of specific accounts and policies on top of that spine — not a different kind of accounting. That is why moving from a generic chart to a trade-specific one is an extension, not a migration.

How the wrong chart costs you

If purchases and stock movements share one account, you cannot compute gross margin, so you cannot tell whether a price rise worked. If subcontractors sit inside wages, you cannot see the moment outsourcing became more expensive than hiring. The report you never build is the decision you never make.

You cannot manage a cost you never gave its own line.

Choosing without expertise

Pick the trade that describes how you earn most of your money, accept the suggested accounts, and add nothing speculatively. Empty accounts are noise. When a cost recurs three months running and you find yourself wondering how big it is, that is the signal to give it its own line.

Put this into practice

theGL.app reads your documents, drafts balanced double-entry journals for you to confirm, and keeps statements, notes and controls up to date as you go.
