Terms of use
Using theGL.app means agreeing to what follows. It is short on purpose — the important parts are sections 3, 5 and 7.
last updated 25 August 2026
01What the service is
theGL.app is bookkeeping software. It reads documents you upload, drafts double-entry journal entries, keeps a general ledger, reconciles bank statement lines, tracks receivables and payables, and produces financial statements with notes.
It is a tool operated by you. It is not an accountant, an auditor, a tax agent or a filing service, and using it does not create a professional engagement of any kind.
02Your account
You need a valid email address and must be old enough to enter a contract where you live. Keep your sign-in secure — anything done from your session is treated as done by you. Tell us promptly if you think someone else has access.
One account, one set of books, one responsible human. Do not share credentials as a substitute for inviting people properly.
03What you are responsible for
Every figure that reaches your statements got there because you confirmed a draft. AI suggestions, categorisations, matches and control flags are proposals — reviewing them is the job, and it stays yours.
You are responsible for the accuracy and legality of what you upload, for having the right to upload it, and for whatever you file with a tax authority, lender, board or regulator on the back of these numbers. Have a qualified professional review anything that will be filed or relied on externally.
04Who owns what
Your books, your documents and your data are yours. We claim no ownership and no licence beyond what is needed to run the service for you — store it, process it, show it back to you, and send the relevant parts to the AI provider when you invoke a feature that needs it.
The software, design, and the accounting logic behind it remain ours.
05The ledger is immutable
Posted entries cannot be edited or deleted, by you or by us. Corrections are made by posting a reversal, which mirrors the original and links back to it. This is deliberate: an editable ledger is not evidence of anything.
Locked periods stay locked until you unlock them, and the unlock is recorded in the audit log with your identity and timestamp.
06Things you must not do
- Upload documents you know to be forged, or fabricate transactions to mislead someone.
- Use the service to launder money or disguise the source of funds.
- Probe, scrape, or attempt to reach data belonging to another account.
- Resell the service, or run it as a white-labelled product, without a written agreement.
We can suspend an account for any of the above. Where we do, you keep the right to export your data unless a law prevents it.
07Availability and liability
We aim for the service to be up and correct, but it is provided as-is. We do not warrant uninterrupted availability, and no software eliminates the need to check your own numbers.
To the extent the law allows, we are not liable for indirect or consequential loss, including lost profits, penalties, interest, or the cost of re-filing. Where liability cannot be excluded, it is capped at the greater of the fees you paid us in the preceding twelve months or USD 100.
Nothing here limits liability for fraud or anything else that cannot lawfully be limited.
08Ending it
You can close your account at any time and export everything first. We can end this agreement with 30 days' notice, or immediately for a serious breach of section 6 — and in the notice case we will keep your data available for export throughout.
If we change these terms materially, we will tell you in the app before the change takes effect. Continuing to use the service afterwards is acceptance.
